This is what you will do

The Coordinator will support the Director and Team Medical Affairs Neurology. He/She handles details of a highly confidential and critical nature and must function efficiently and reliably in a fast-paced professional environment. He/She will have a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines, screen and prioritize communication from external and internal sources. Organization and maintenance of administrative processes is essential to this position.

You will be responsible for

  • Provide full administrative support to the Director and Team Medical Affairs Neurology
  • Manage medical events incl. coordination of event agencies
  • Maintain the schedule of Medical Department and staff business trips
  • Organize medical meetings as well as preparation of travel arrangements
  • Coordinate the distribution of contracts and check invoices, payment and delivery of agreed return service, ensure adherence to relevant SOPs (PRF, new Vendor) and compliance rules
  • Liaise with other departments and their staff to coordinate activities and meetings
  • Supports the onboarding of new Medical Affairs Neurology employees including coordination of trainings
  • Management of business partners communication, event and translation agencies
  • Responsible for budget administration

You will need to have:

  • Commercial degree or equivalent is preferred
  • At least 2 years’ experience as coordinator/ assistant
  • Excellent written and oral communication skills in German & English
  • Excellent computer skills (MS Office)
  • Highly service oriented, able to handle multiple and changing priorities
  • Flexibility and ability to adapt to changing conditions
  • High degree of accuracy and attention to detail
  • Sense of ethics and responsibility
  • Highly motivated and pro-active

We would prefer you to have:

  • Experience in Life Science / pharmaceutical industry
  • Flexibility and ability to adapt to changing conditions
  • Ability to work proactively and innovatively
