We have a unique opportunity for an English speaking Personal Assistant to join our PA team in Warsaw.
What you’ll do:
As Personal and Administrative Assistant you will be responsible for the effective and efficient day to day management and organization of senior managers activities within Discovery Sciences. The managers could be based in the UK, US, Sweden and Poland.
In this role, you will deliver high-quality and innovative support, you will have good workload management and prioritisation, possess effective problem-solving and decision-making skills.
The ideal person should be confident in working independently and with autonomy, as well as being a strong team player and able to work in a global environment.
Main Duties and Responsibilities:
- Comprehensive diary management of multiple senior directors - prioritising and managing complex diary arrangements.
- Organises internal and external meetings, room bookings, hospitality, etc on behalf of the Discovery Sciences Leadership Teams across the sites.
- Provides comprehensive support in setting up virtual meetings using Microsoft Teams or Zoom.
- Management of email correspondence as required on behalf of the supported Leaders
- Research travel and accommodation options, agree and organise most effective option and produce detailed travel itineraries
- Compiling and submitting expenses on a monthly basis
- Organising team meetings – F2F or virtually as required
- Onboarding and offboarding personnel as required
- Ensures personal compliance with all required company policies, including site attendance, time reporting, required training, worker information, and expense management
- Raising POs as required.
- Coordinates internal and external meetings/conferences so that they run smoothly, including scheduling meeting times, room bookings, making travel arrangements for attendees, and ensuring that various meeting amenities are available
- Performs other administrative tasks using independent judgement and discretion
- Plans, organises, and schedules own workload through system maintenance so that all activities are completed accurately and on time
Essential for the role:
- Previous experience of providing full PA/administrative support at a senior level
- Excellent verbal and written communication skills, including fluency in English
- Proven ability to work autonomously, and at the same time, collaborate effectively with other members of the PA and administration support team.
- Confident and experienced in using Microsoft Office, Teams, Zoom and a wide variety of technology and IT software
- Excellent administrative, time management and organisational skills.
- Have a high level of resilience and be self-motivated
- Demonstrate attention to detail, working to consistently deliver to a high standard
