Introduction to role
Are you ready to lead the charge in creating unforgettable experiences? As the Associate Director of Conference & Event Management, you will spearhead the planning, execution, and innovation of events across our Boston/Cambridge sites. With a vibrant community of approximately 3,000 employees, your role will blend operational excellence with creative vision. From AV logistics to employee engagement programming, you will oversee it all, ensuring each event is impactful and memorable.
Accountabilities
Event Strategy & Execution
Contribute event strategy and stakeholder engagement expertise for the introduction of a new strategic site in Cambridge in 2026.
Design and lead a comprehensive events program that enhances internal engagement and external visibility.
Drive end-to-end event execution, including budgeting, planning, logistics, vendor coordination, onsite supervision, and real-time issue resolution.
Act as the primary liaison for internal stakeholders and external partners, ensuring alignment with business objectives.
Partner globally to ensure consistent and aligned event planning across AstraZeneca sites.
Program Development
Build and manage a dynamic portfolio of vendors and packages for team-building experiences and themed programming.
Develop repeatable processes and scalable toolkits for seamless event execution.
Collaborate with Employee Resource Groups to design inclusive social events reflecting AstraZeneca’s values.
Work with the Campus Experience Team on community engagement initiatives.
Operational Leadership
Manage a $2–3 million annual operating budget with a focus on financial responsibility and ROI.
Oversee AV service delivery for reliable hybrid and in-person meeting experiences.
Lead venue identification, supplier negotiations, and relationship management.
Establish and monitor key performance indicators for operational efficiency.
Cross-Functional Collaboration
Collaborate with internal teams to align event strategy with company culture and brand.
Provide strategic guidance to senior leaders on event objectives and audience engagement.
Performance & Innovation
Establish performance standards to foster accountability.
Develop and monitor event performance metrics to drive continuous improvement.
Foster a culture of safety and sustainability across all events.
Stay ahead of industry trends to deliver innovative events.
Essential Skills/Experience
Bachelor’s degree in Event Management, Communications, Hospitality, or related field and 5+ years of experience in corporate event management, preferably in biotech, pharma, or healthcare sectors.
Proven track record managing large-scale events and budgets of $2M+.
Strong vendor management, negotiation, and contract skills.
Expertise in AV and hybrid event technologies.
Exceptional interpersonal and communication skills.
Creative thinker with a passion for employee experience and brand storytelling
