Site Procurement & Logistics Senior Analyst

Accountabilities:
Purchasing Coordination: Align material, consumable, equipment, and third-party service purchases with lab needs, budgets, and approvals to ensure timely and compliant supply.
Order Lifecycle Management: Own requisitioning through PO creation, vendor communications, tracking, receiving, and discrepancy resolution to deliver right-first-time outcomes.
Shipments and Compliance: Oversee inbound and outbound shipments with accurate documentation, customs compliance where applicable, and swift issue resolution to protect timelines.
Inventory Control: Maintain accurate stock levels through tracking, cycle counts, reorder thresholds, and expiry management to safeguard critical experiments and operations.
Equipment and Facility Support: Partner with the Lab Operations Manager on maintenance scheduling, service coordination, and downtime mitigation to maximize lab uptime.
Waste Management: Administer segregation, labeling, storage, scheduling, and compliant disposal with approved vendors to uphold safety and regulatory standards.
Receiving and Reconciliation: Ensure robust receiving procedures, reconcile packing slips and invoices, and follow up on delayed, damaged, or incorrect deliveries to maintain integrity of records.
Supplier Partnership: Assist in identifying, qualifying, and monitoring suppliers; support selection and contracting in collaboration with the Lab Operations Manager to strengthen performance.
Quote-to-Service Execution: Obtain and compare quotes, place orders for approved services, and monitor delivery versus scope, timeline, and quality to meet commitments.
Data and Reporting: Maintain procurement records, SOPs, dashboards, and prepare routine reports on spend, supplier performance, inventory status, and KPIs to inform decisions.
Continuous Improvement: Drive enhancements in procurement, inventory, and logistics to reduce cost, lead time, and risk while elevating service to the labs.
Safety and Compliance: Adhere to EHS, biosafety, and compliance requirements; enforce good documentation practices and audit readiness across all procurement activities.
Essential Skills/Experience:
Demonstrated experience coordinating purchases of materials, consumables, equipment, and third-party services aligned to operational needs, budgets, and approvals in a life sciences laboratory (preference to cell and molecular biology laboratory).
Hands-on expertise managing end-to-end order lifecycle, including requisitioning, PO creation, vendor communication, tracking, receiving and discrepancy resolution.
Knowledge of shipment documentation and customs requirements, with the ability to secure timely and compliant deliveries for biological materials.
Proficiency in inventory management, including cycle counts, reordering thresholds, and expiry tracking for critical supplies.Experience supporting equipment and facility maintenance scheduling, service coordination, and downtime mitigation.
Practical knowledge of biological waste management processes in a regulated environment, including segregation, labeling, storage, scheduling, and compliant disposal.
Strong receiving and reconciliation skills, including packing slip and invoice alignment and proactive issue follow-up.
Experience assisting in supplier identification, qualification, performance monitoring, and supporting selection and contracting activities.
Ability to obtain and compare quotes, execute orders for approved services, and monitor service delivery against scope, timeline, and quality expectations.
Confidence maintaining procurement records, SOPs, and dashboards, and preparing routine reports on spend, supplier performance, inventory status, and KPIs.
A track record of driving continuous improvement to reduce cost, lead time, and risk while improving service levels.
Working knowledge of EHS, biosafety, and compliance requirements, with rigorous documentation discipline and audit readiness.
Desirable Skills/Experience:
Experience in a life sciences laboratory, pharmaceutical, biotech operations environment.
Familiarity with ERP and e-procurement platforms, inventory systems, and data visualization tools.
Exposure to import/export processes, cold-chain logistics, or time-sensitive shipping.
Proficiency in process improvement methodologies and root-cause problem solving.
Strong stakeholder engagement skills and the ability to collaborate across functions and levels.
