Global Business Service Data Office (GDO) mission is to provide accessible, robust data services within Finance to make it a work class data driven function contributing to AstraZeneca’s ability to deliver life-changing medicines. As an operational arm of GBS Data Office, the Data Management Team (DMT) is responsible for data maintenance in the systems of record within Finance. This covers the creating, amending, and blocking of core master data objects to support our business processes and reporting solution. The team is offering global support across geographies to response to requests and to process them in a timely manner and efficient way.

Data Management Team - Vendor Managed Service (VMS) is responsible for providing the support to business users from various Company’s functions to have supplier data available and up to date in all the systems and applications according to the standard operating procedures, controls and Company’s policies allowing accurate execution of purchasing and financial transactions. This includes verification if supplier already exists in Company’s database, providing instructions on the required documentation that needs to be collected and provided as part of supplier creation or maintenance, supplier’s setup special requirements and supplier’s risk assessment process, if applicable.

Vendor Managed Service (VMS) team is responsible for submitting supplier creation or maintenance request on behalf of the business user, selecting the proper technology and request form. After the submission, VMS team is monitoring the request, its processing time and quality, supplier data distribution and availability in all required systems and pro-actively communicates to the business user status of the supplier data processing.

Typical Accountabilities:

  • Manage priorities and queue of queries and requests coming from helpdesk and business user.

  • Contact business users to collect the required information and supporting documentation for supplier creation/maintenance request processing if required.

  • Perform check if supplier record already exists in our systems to avoid creation of duplicated record.

  • Submit vendor master data creation / maintenance request on behalf of business user.

  • Pro-actively monitor and communicate to business user status of the vendor master data creation / maintenance request.

  • Liaise with Data Management Teams to ensure timely and accurate request processing,

  • Monitor supplier data synchronization to applicable downstream systems i.e. Coupa.

  • Monitor quality of vendor master data in SAP and other downstream systems.

  • Stay up to date to Procurement and Financial policies and apply them to daily work and vendor master data creation and maintenance requests.

  • Coordinate with Ops IT and Data Management Teams resolution of data transfer and synchronization issues.

  • Validate vendor data in available online tools and portals (i.e. tax data, baking details, etc) based on the country validation rules.

  • Collect from vendor Small Business/Minority Questionnaire, if applicable,

  • Contact supplier for banking details collection and confirmation, if applicable,

  • Identify and assess process improvement and automation opportunities,

  • Work with Data Management Teams on data quality and process improvements,

  • Work towards defined SLAs and KPIs,

  • Support business project activities with vendor master data expertise and reporting,

  • Provide vendor master data related reports based on the business need,

  • Coordinate mass requests on behalf of business users or project teams,

  • Provide input to design of the main tools / systems required for daily work,

  • Perform testing of the tools/systems required for daily work,

  • Develop and update Standard Operating Procedures and Work Instructions,

  • Support in Compliance/Internal Control audits, ensure vendor master data is compliance.

  • Provide expertise to GDO Data Management Team Members on issues identification related to data requests processing.

Essential Requirements:

  • Degree in Business or any related field.

  • 3-5 years working experience in Vendor Managed Services (VMS).

  • Proficient in the use of SAP system - SAP master data related transactions and structure of SAP tables storing master data related objects.

  • Excellent communication skills in English and Japanese to support Japan entity.

  • Experience working in shared services organization and in procurement area is an added advantage.
