Project Coordinator, Business and Operations – OBU Medical Affairs Innovation, Strategy, & Operations

Introduction to role:
The Project Coordinator, Business and Operations is a key member of the Medical Innovation, Strategy, and Operations team (MIST), working within OBU Global Medical Business Operations, Analytics, and Reporting team (BAR). Collaborate with Finance, Evidence Generation, Partnership, and Medical Tumor Teams to achieve GMA's financial goals.
Accountabilities:
This role is responsible for supporting the business spend management platform for the GMA “Evidence” budget, providing budget systems support for GMA budget and/or clinical platform support, including troubleshooting requests and tracking payments. The Project Coordinator will ensure standard methodologies are implemented and deliver outstanding day-to-day operational pro-Processes. Regular meetings with collaborators will be held to discuss systems and budget updates, invoicing, and budget-queries. The team member will work across all MIST and cross-functional teams supporting various activities and different types of budgets as needed.
What you'll do:
- Hold regular meetings with collaborators to discuss budget and systems updates.
- Update Evidence or other budget and financial-tracking systems daily/weekly within the area of responsibility.
- Provide operational support to Teams including budget updates, tracking payments, and matching transactions related to the systems.
- Update and process requests in the business spend management platform daily and update all other relevant master templates and files as applicable.
- Assist collaborators with any financial questions and other types of problem-solving.
- Provide support for GMA systems within the area of responsibility and assist with systems’ new versions roll-out as applicable.
- Develop and maintain processes, promote standard methodologies, and share expertise in key systems.
- Ensure adherence to operational and compliance processes.
- Under guidance, provide systems/process training sessions for tools and technology platforms.
- Work with other team members to create processes that will streamline and simplify business needs across OBU Medical.
- Provide project, operational, or other types of budget and administrative support to different functions within BAR and MIST, as well as across other cross-functional teams as needed.
Essential Skills/Experience:
- Bachelor's Degree
- Ability to work in various systems
- Proficiency in Excel
- Proven project management experience
- Customer relationship management experience and strong work ethics
- Experience of effective working in a cross-functional, multi-cultural, and matrix environment
- Experience working in a global setting, managing stakeholders within different time zones
Desirable Skills/Experience:
- Experience in Medical Affairs (Global, Regional, or Local)
- Experience in basic Finance/Accounting and other types of administrative duties
- Minimum of 2 years’ experience in pharmaceutical industry
