Responsibilities
This role is based in Barcelona, with an on-site commitment of three days a week. Fluency in English is required.
Introduction to role
Are you ready to take on a dynamic role where you can make a significant impact? As a Personal Assistant, you will not only provide essential support but also collaborate with various managers within the department. Your responsibilities will include organizing meetings, maintaining documentation, and establishing systems to ensure smooth daily operations. In some cases, you may also supervise other employees and distribute work based on needs. This is an exciting opportunity to work closely with senior managers and contribute to the success of our team!
Accountabilities
• Respond to complex queries or those referred by other personal assistants/secretaries
• Access senior managers' email accounts to schedule appointments and respond to or redirect routine queries from internal or external sources
• Transcribe, write, format, and accurately review a wide variety of materials (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics, and spreadsheet software. Able to express yourself in your own language and in English (business level)
• Use editing software to design more complex documents that support the work of the department
• Provide specialized administrative support based on projects if necessary
• Coordinate internal and external meetings/conferences and oversee all details, such as meeting time planning, travel arrangements for attendees, and the availability of various materials and activities related to the meetings
• Perform other necessary administrative tasks individually that require organization and discretion
• Prepare documents, presentation materials, and official communications for distribution to appropriate stakeholders
• Advise and instruct less experienced secretaries to help them solve problems
• Plan, organize, and schedule your own workload by maintaining the system so that all activities are carried out efficiently and on time
Essential Skills/Experience
• Previous experience as a PA
• Ability to follow processes and procedures
• Good communication skills
• Specialized knowledge related to administrative or business support tasks in the relevant area
• Competent in using relevant office systems, equipment, and materials
• Experience with various systems and software
• Oral and written communications
• Collaboration and teamwork
• Full familiarity with the internal organization and extensive knowledge of how local business processes complement other relevant processes and information systems
• Able to perform a large number of mathematical calculations or activities related to the field of work
• Can create and maintain systems for their own efficiency and that of others
