Office Manager
Job Purpose:
The Office Manager will be responsible for the smooth and efficient operation of the AstraZeneca Algeria office. This role involves managing administrative functions, supporting staff, and ensuring compliance with corporate policies and procedures. The ideal candidate will be proactive, organized, and capable of handling multiple tasks and priorities.
Key Areas of Responsibility:
Office Operations Management
- Oversee daily office operations and manage administrative staff.
- Ensure the office environment is safe, clean, and conducive to productivity.
- Coordinate with facilities management building regarding maintenance and repairs.
Administrative Support
- Assist with scheduling meetings, managing calendars, and organizing travel arrangements for executives.
- Manage office inventory, including supplies and equipment procurement.
- Handle correspondence and communication, ensuring timely responses.
Financial Management
- Prepare and manage office budgets, ensuring cost-effectiveness and adherence to financial protocols.
- Process invoices and manage expense reports.
Compliance and Policy
- Ensure the office operates in compliance with AstraZeneca's corporate policies and local laws.
- Maintain records in accordance with the company's document management system.
- Monitor and implement health, safety, and security policies.
Team Coordination
- Facilitate communication and collaboration between different departments.
- Organize and coordinate office events and meetings.
Project Management
- Lead and manage office-related projects, ensuring timely completion and adherence to objectives.
- Collaborate with cross-functional teams to support business operations.
Minimum Criteria and Competencies:
Education, Qualifications, Skills and Experience:
- Bachelor’s degree in business administration, Management, or a related field.
- Proven experience as an Office Manager, Administrative Assistant, or similar role.
- Strong organizational and leadership skills.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with office management software (e.g: SAP).
- Experience working in multinational companies, preferably pharmaceutical or healthcare sectors.
- Knowledge of local business practices and regulatory requirements in Algeria.
- Fluency in English and French; knowledge of Arabic is a plus.
