Job Description

We are seeking a Senior Administrative Assistant to support our dynamic Data Science team working in the fields of Artificial Intelligence (AI) and Genomic AI (Gen Ai). The successful candidate will be responsible for providing high-level administrative support to the team, ensuring smooth and efficient operations, and contributing to the success of our cutting-edge projects.

Based in our Guadalajara office, this role impacts the reputation of the function as it serves as the initial point of contact. This is a fast paced and constantly changing environment, which requires resilience and personal flexibility; due to routine and urgent business critical requests across several time zones, the position can require to be available outside regular working hours at times. This position involves a high degree of job complexity and involves supporting leaders based in our Gaithersburg, Wilmington, Cambridge offices. The ability to work autonomously and with minimal supervision is a critical skill for success in this role.

Accountabilities

  • Manage complex calendars, schedule meetings, and coordinate travel arrangements for team members.
  • Act as a liaison between the Data Science and AI team and other departments, as well as external partners.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and maintain files and records, both electronic and physical, ensuring accuracy and confidentiality.
  • Assist with the onboarding of new team members and help coordinate team events and activities.
  • Handle sensitive information in a professional and discreet manner.
  • Support the team with administrative tasks such as expense management and procurement.
  • Proactively identify opportunities to improve administrative processes and implement solutions.
  • Take on prioritized projects as needed to pull together needed reports (finance/budget, HR, recruiting, etc.)

Requirements

  • 5 years of administrative/project coordinator experience preferably in a pharmaceutical/biotech environment.
  • Demonstrated success in managing complex cross-matrix projects.
  • Strong communication and collaboration skills.
  • Strong Microsoft office skills, candidate must be proficient with Excel and PowerPoint.
  • Works well independently and as a team member whilst also displaying leadership skills.
  • Ability to adapt to changing projects and or priorities.
  • Driven to strive for solutions with a “can-do” attitude.
  • Resilient through uncertainty and communicating/collaborating to ensure clarity.
  • Proficient in all Microsoft applications and other industry applications, e.g. SharePoint and BOX.

Desirable

  • Familiarity with Data Science, AI and Gen AI concepts and terminology.
  • Experience working in a research or scientific environment.
  • Knowledge of project management principles.
  • A bachelor’s degree in business administration, Management, or a related field is preferred.
