We are seeking a dynamic and experienced Personal Assistant & Project Coordinator to support the Head of Global Procurement Services (GPS) and the GPS Core LT. This role involves handling highly confidential and sensitive information, creating business presentations, and organising high-profile conferences. The successful candidate will also be responsible for maintaining proper documentation on SharePoint, Nucleus, and other channels, as well as supporting the coordination of GPS L&D, induction & communication projects.

Accountabilities:
The Personal Assistant & Project Coordinator will be responsible for preparing documents and presentation materials, managing the executive's appointments and schedules, coordinating internal and external meetings, and facilitating smooth communications between the executive and other stakeholders. They will also handle confidential information, maintain the executive's office and accounting records, and provide specialist project-based administrative support when required. Additionally, they will ensure GPS documentations shared via different communication channels are up-to-date and properly designed.

Essential Skills/Experience:

  • Prior PA and/or Project Coordinator experience

  • Ability to follow processes

  • Excellent English communication skills

  • Significant administrative, secretarial or related experience

  • General knowledge and understanding of company policies and procedures

  • Ability to manage multiple projects/tasks/assignments simultaneously and effectively

  • Demonstrated skills and ability in PC applications

  • Well-developed organisational and interpersonal skills

  • Experience in creation and presentation of one-pagers and dashboards

Desirable Skills/Experience:

  • Experience of working in a global organisation with complex/geographical context

  • General cultural awareness

  • General knowledge about procurement activities
