Do you excel at keeping leaders one step ahead and operations running smoothly? In this role, you will be the trusted coordinator behind the scenes, enabling senior leaders to move at pace, make clear decisions, and communicate effectively. Your work will help the business operate with precision so our science can reach patients faster.

You will join a high-performing, digitally savvy team that partners across functions to remove friction, streamline processes, and support bold ideas. Could you see yourself connecting stakeholders across time zones and making complex schedules feel simple? Accountabilities:

  • Administrative Support: Provide day-to-day administrative and secretarial support to Senior PAs and leadership, including diary management for Senior Directors and above, meeting coordination, and timely follow-up on actions to keep priorities moving.
  • Expense Reporting: Prepare and process expense claims for leaders following policy and cycle timelines, ensuring completeness, compliance, and accurate reconciliation that stands up to audit.
  • Travel Management Support: Coordinate travel and visa arrangements for the leadership team, including flights, accommodation, transfers, and itineraries, aligning all bookings with policy while minimizing disruption and cost.
  • Purchase Orders and Financial Administration: Raise purchase orders for team activities, support invoice processing, and liaise with suppliers per procurement guidelines, enabling smooth financial operations and reliable vendor relationships.
  • Meeting, Project and Event Support: Manage room bookings, create Zoom/Teams meetings and webinars, provide basic technical support, and assist with logistics for internal and external events so every engagement runs to plan.
  • Carbon Targets Tracking: Maintain accurate records and monthly updates for carbon-tracking activities across your teams, supporting enterprise commitments and transparent reporting.
  • Leave Cover and Team Flex: Provide annual leave and sickness cover for GCA PAs and collaborate with Administrators and EAs across CALT teams, maintaining continuity and consistent service standards.
  • Operations Support: Help maintain distribution lists, org charts, and other core operational processes that underpin team communication and clarity.
  • Policies and Procedures: Understand and always adhere to the AstraZeneca Global Code of Conduct, including global policies and procedures, setting a high bar for compliance and integrity.

Essential Skills/Experience:

  • Proven experience in administrative support within a complex, global or matrix environment.
  • Strong organisational skills with attention to detail and the ability to manage multiple priorities with urgency and accuracy. 
  • Proficiency with Microsoft 365 (Outlook, Teams, Excel, PowerPoint, SharePoint) and virtual collaboration tools (Zoom/Teams webinars). 
  • Confidence managing purchase orders, expenses and basic financial processes in line with policy. 
  • Clear, professional communication skills in English (written and verbal). 
  • Service-oriented approach, discretion with confidential information, and ability to build strong working relationships across teams and geographies. 
  • Problem-solving approach with a focus on continuous improvement and consistency in execution. 
  • Familiarity with travel coordination, visitor management, and event logistics. 
  • Experience supporting sustainability and/or other operational tracking is a plus.
