Administrative Coordinator

As an Administrative Coordinator in CBD, you will use your excellent organizational skills to enable Senior Leaders to focus on science to deliver medicines to patients. In addition to core CBD responsibilities, you will provide ad hoc administrative support to the Gaithersburg CBD Leadership Team (LT), coordinate CBD meetings (set-up, logistics, and execution), assist with CBD special events including Town Halls, and support travel and visitor management for Gaithersburg-based activities, including VIP visits.
You will be required to work independently, using your initiative and creativity to deliver in this dynamic environment. This role is hybrid, 3 days per week onsite.

Accountabilities:
- Senior Leader support: calendar management (Outlook), travel bookings, expenses, and document coordination; facilitate communications with internal and external collaborators. (must be comfortable dealing with different time zones)
- CBD coordination: lead and coordinate logistics for CBD meetings (face-to-face, hybrid, virtual) and, where agreed, manage practical arrangements (planning, catering, materials).
- Leadership Team support: schedule, manage correspondence and materials, and track/follow up on actions for the CBD Leadership Team (LT).
- Special events: execution of CBD events (leadership offsites, site engagements, recognition events, vendor demos, Town Halls), including travel per AZ policy and onsite logistics (visitor passes, parking/EV charging, room bookings, wayfinding, confidentiality, dietary needs).
- Travel and visitors: coordinate travel for CBD LT members, guest speakers, and visitors; manage expense submission and reconciliation; track budgets for CBD meetings/events where applicable.
- Onboarding: partner with the CBD onboarding coordinator to ensure seamless experience for new joiners, including equipment readiness and first-week schedules.
- Issue resolution and collaboration: independently and proactively resolve administrative issues; contribute to initiatives that improve engagement and wellbeing.
- Site support: provide support to internal and external site visitors and become an expert user of key business systems and processes.
Essential Skills/Experience:
- 3+ years of administrative support experience; College Degree or equivalent.
- Extensive calendar management using Microsoft Outlook.
- Demonstrated ability to operate effectively in a global environment.
- Professional, confident, and proactive approach with the ability to manage a diverse and demanding workload independently.
- Strong organizational and forward-planning skills with attention to detail.
- Ability to work autonomously while collaborating effectively with administrative teams and CBD colleagues.
- Strong proficiency with Microsoft Teams, PowerPoint, and Excel.
- Operates with discretion and maintains confidentiality.
- Productive, approachable, and composed under pressure; creative and customer focused.
- Strong functional/technical skills; learn quickly and adapt to change.
- Excellent organizing and process management simplifies complex workflows.

The annual base pay for this position ranges from $67,952- $89,187 USD Annual.
