The Project Support Office (PSO) provides day-to-day coordination, governance support, and delivery enablement across agile release trains, product and platform teams, acting as the operational backbone that keeps delivery moving predictably. The role ensures teams operate smoothly by maintaining project controls, cadence, and clear reporting, enabling timely, high-quality delivery. The PSO translates delivery data into actionable insights through Agile metrics and fit-for-purpose dashboards, helping teams and leaders make informed decisions, forecast realistically, and address impediments early. In addition, the PSO manages critical supplier and financial operations, including OSP lifecycle, invoice consolidation, Coupa requisitions, new supplier setup, licence and purchase order tracking, Statements of Work (SoW), and financial support.
Accountabilities:
- RAID management: Maintain risks, assumptions/actions, issues, and dependencies; drive mitigations and timely critical issues with a sense of urgency.
- Status reporting and dashboards: Produce accurate, insight-rich dashboards and reports; validate Agile metrics (velocity, burn-up/down, cycle time, throughput, defect trends) to inform decisions and support scorecard ambitions.
- Outsourced Service Provider (OSP) management and training: Handle OSP lifecycle, including account creation, onboarding, offboarding, and tracking mandatory training completion, liaising with OSPs to ensure compliance and timeliness.
- Supplier invoicing and payments: Consolidate invoices requiring action; liaise with suppliers on late or missing payments; handle supplier enquiries on invoicing and payments; resolve invoicing issues and track outcomes.
- New supplier setup: Provide support for new supplier onboarding, including 3PRM workflows and documentation, ensuring data completeness and compliance.
- Licence and PO tracking: Support licence inventory tracking and associated purchase order/payment tracking, maintaining a single source of truth and alerting teams to renewals or risks.
- Statements of Work and supplier quotes: Support drafting of SoWs and supplier quotes, coordinating internal reviews and routing for signature, and ensuring alignment to scope, budget, and timelines.
- Purchasing requisitions: Support raising requisitions in Coupa, monitor progress, and resolve issues to avoid delays in procurement and delivery.
- Financial operations: Support teams with financial timelines and targets, and maintain baselines across budgeting, forecasts, actuals, and accruals; assist with recharge submissions and recovery to ensure accurate cost allocation.
- Tooling and data stewardship: Ensure accuracy and consistency in delivery toolsets and repositories; govern naming conventions, templates, and single sources of truth.
- Stakeholder communication: Draft meeting packs, RAID logs, and succinct updates for leadership; maintain clear communications with teams, vendors, and business partners.
- Continuous improvement: Identify process and tooling friction; propose pragmatic improvements that enhance flow, predictability, reporting quality, and supplier/financial turnaround times.
- Onboarding and enablement: Prepare "ways of working" guides, quick-start templates, and training materials to help new team members and OSPs ramp quickly and adhere to delivery standards.
Essential Skills/Experience:
- Bachelor’s degree or equivalent experience in a relevant field such as Information Technology, Business, Project Management, or a related field.
- 2–4 years in project support, PMO coordination, or agile delivery support in transformational IT or complex environments.
- Foundational project support or PMO training; familiarity with agile practices and delivery governance.
- Ability to manage cadence, calendars, and logistics with strong meeting facilitation and action tracking.
- Proficient in RAID management, change control and stage gates, with high attention to detail.
- Ability to manage collaborators across teams, vendors and geographies with clear, concise written and verbal communication.
- Competent with metrics, dashboards, and status reporting.
- Understanding of financial timelines and targets with support for financial cycles.
- Ability to lead OSP lifecycle (account creation, onboarding/offboarding, mandatory training), handle supplier enquiries, consolidate invoices, and resolve invoice disputes/overcharges.
- Solid understanding of Jira, document repositories (SharePoint/Confluence), Coupa for requisitions, and spreadsheet/reporting tools (Excel/Power BI).
- Ability to navigate problem solving with structured issue triage and timely concerns.
- Ability to streamline processes and reduce administrative friction.
- Experience in working across geographies and time zones.
Desirable Skills/Experience:
- CAPM or equivalent; Scrum Master or SAFe practitioner.
- Procurement/financial operations training (e.g., Coupa fundamentals).
- Experience maintaining licence inventories and associated purchase order/payment tracking with proactive renewal management.
- Exposure to drafting and routing Statements of Work (SoW) and software quotes for signature; familiarity with scope, breakthrough, and acceptance criteria alignment.
- Understanding of 3PRM processes, data requirements, and compliance considerations.
- Working within SAFe or other scaled agile environments, supporting release trains and autonomous scrum teams.
- Building or maintaining Power BI dashboards or advanced Excel models to visualize delivery and financial data.
