Responsibilities
Are you ready to build a global, trusted foundation of evidence that powers compliant content and accelerates approvals for life-changing medicines? In this role, you will create the single source of truth for references and core claims that enables our teams to move faster, reduce rework, and set the standard for quality across markets!
You will work at the intersection of science, content, and technology, partnering with Medical, Regulatory, markets, brands, and agencies to make every claim traceable and every asset reusable. Apply if you see yourself designing a library where content creators and reviewers find what they need in seconds and where every decision is anchored to rock-solid evidence.
Accountabilities:
Establish and handle the worldwide repository of references and core claims in Veeva Vault PromoMats. This allows reuse and consistent governance across markets and brands.
Claims and Reference Ingestion: Orchestrate intake of core claims, link them to supporting references, and structure the library for searchability and Medical, Legal, and Regulatory (MLR) readiness.
Medical Partnership: Collaborate with Medical teams to validate accuracy, appropriateness, and currency of references so reviewers can approve with confidence and fewer cycles.
Metadata and Taxonomy: Define, apply, and implement tagging standards for references, claims, images, illustrations, and modular content to enhance findability and reporting.
Quality Control and Audits: QC new claims, references, and metadata; run periodic audits with Medical/Regulatory; update content as source materials evolve to maintain compliance.
DAM and Rights Management: Ensure complete image and illustration rights metadata in PromoMats and that all file components are included for compliant submissions.
User Enablement and Support: Provide multi-country user support, training, access management, and troubleshooting to drive adoption and self-service retrieval.
Agency and Partner Engagement: Guide agencies on correct submissions, claim–reference linking, and adherence to standards to reduce rework and speed approvals.
System Implementation: Contribute to user acceptance testing and rollout of content system enhancements; translate feedback into practical improvements.
Business Impact: Convert librarian rigor into measurable outcomes—higher reuse rates, cleaner MLR submissions, and faster time to approval that scales across markets.
Essential Skills/Experience:
- A bachelor’s degree or equivalent experience, preferably in Life Sciences; a Library Science degree is preferred.
- A scientific background with familiarity with medical terminology and various types of medical references.
- Approximately 5-7 years of proven experience in maintaining a global library of references, core claims and reusable assets, ideally within Veeva Vault PromoMats.
- Strong knowledge of pharmaceutical referencing, core claims management, and content governance practices.
- Proficiency in Microsoft Office Suite, Adobe Creative Suite, and Veeva Vault PromoMats.
- A solid understanding of creative asset file types, data classification frameworks, and medical reference-to-claim linking.
- Strong communication, stakeholder management, planning, prioritization, and organizational skills.
Desirable Skills/Experience:
- Experience configuring Veeva Vault PromoMats object types, lifecycles, and metadata models.
- Hands-on digital asset management in regulated environments, including rights management and reuse workflows.
- Direct involvement in MLR submission processes across multiple countries or brands.
- Experience delivering user training at scale and producing clear guidance and standards.
- Familiarity with taxonomy design, controlled vocabularies, and ontology management.
- Exposure to UAT planning, test case design, and defect triage for content systems.
- Ability to coordinate agencies and vendors and drive adherence to submission standards.
- Working knowledge of content data quality metrics and dashboarding.
