Responsibilities
The Manager, Oncology Congresses & Exhibitions will lead the operational and production management of AstraZeneca’s oncology presence at scientific congresses, events, and exhibitions. This roleis responsible fordelivering both eventlogisticsand exhibition booth programs for Tier 2/3 congresses, ensuring alignment with AstraZeneca’s brand, sustainability, and compliance standards. The position requires hands-on event coordination, vendor and agency management, budget oversight, and on-site execution. Based in Barcelona, the manager will collaborate with global oncology teams, external partners, and stakeholders across international time zones to implement projects that unite AstraZeneca’s scientific aims with engaging event experiences.
Key Responsibilities
Congress & Event Management:
Coordinate and deliver operational activities for oncology congresses, events, and offsite meetings, including onsite management and stakeholder communications across multiple international time zones.
Lead Tier 2/3 congresses, supporting AstraZeneca’s oncology congress and event strategy, deliverables, and timelines.
Exhibition Booth Production:
Oversee production and execution of oncology exhibit booths, including direct vendor coordination, asset shipping, booth installation, staff briefing, and breakdown.
Manage detailed production plans, troubleshooting onsite as needed to ensure seamless booth delivery and attendee engagement.
Vendor & Agency Management:
Build andmaintainrelationships with exhibit vendors and agency partners; communicate AstraZeneca expectations, compliance, and sustainability standards.
Coordinate orders, deliveries, build/installation requirements, and supervise project execution onsite.
Financial & Administrative Support:
Process requisitions, invoices, and payments with accuracy and efficiency.
Track budgets, expenses, timelines, and metrics; ensure all activitiesremainwithinallocatedbudgets and financial controls.
Generate status reports and event correspondence under tight deadlines.
Stakeholder Collaboration:
Act as AZ representative onsite, ensuring professional standards and resolving issues in real time.
Effectively coordinate and collaborate with internal teams, external partners, and senior leadership to drive event success.
Sustainability & Compliance:
Implement AstraZeneca’s sustainability and compliance policies at congresses and exhibitions; document outcomes and raise concerns as needed.
Special Projects & Continuous Improvement:
Lead special projects and support process improvements within the congress and exhibitionsremit.
Adapt to changing priorities and deadlines with resilience, composure, and confidence.
Essential Skills & Qualifications
Experience:
Proven experience in event, exhibition, congress, or booth production and management, preferably in healthcare, pharmaceuticals, or a similar industry.
Education:
High School Diplomarequired;Bachelor’sdegree preferred.
Planning & Organization:
Strong organizational and project management skills; adept at multitasking in dynamic, fast-paced environments.
Travel Readiness:
Comfortable with frequent travel and hands-on onsite event/exhibition coordination.
Communication:
Clear and effective written and verbal communication skills; able torepresentAZ professionally with senior leaders, stakeholders, and external partners.
Financial Acumen:
Experience in budget management, invoice processing, and financial tracking.
Teamwork & Collaboration:
Able to work autonomously and collaboratively with diverse, global teams.
Adaptability:
Flexible and able to handle last-minute changes; demonstrates tact and negotiation as needed.
Technology Skills:
Proficient in Microsoft Word, Excel, PowerPoint, Project, and Outlook.
