Accountabilities

  • Monitoring and controlling monthly purchase orders created, ensuring purchasing closings in appropriate manner of time.
  • Preparation of a spreadsheet with annual purchase orders related to fixed costs
  • Controlling and check-ins for purchase orders created through the system, ensuring timely posting of invoices against the correct purchase order
  • Creation, review, and reconcile of civil contracts with stakeholders and accompanying documentation in accordance with due contractual payment in addition with communicating with the authorship agency
  • Regular updates on all paid contracts and send details for posting invoices sent by the authorship agency
  • Verification of correctness of monthly travel orders and expenses submitted through the systems
  • Support creation of purchase orders for Finance and Facility departments
  • Review and verification of accounting posting and payments of invoices, populate IFRS16 tracker with purchasing
  • Support of NRA and external audit queries under Finance Manager supervision
  • Communication with the Travel Help Desk, reporting on expenses due for payment after verification
  • Responsibility for the spreadsheet for EFPIA reporting for all indirect payments made through third parties
  • Preparation of the documentation for quarterly LCC reports
  • Lead vendor outstanding balance review, Coupa and Veeva reports for all commercial meetings
  • Review and support correct accounting treatment and timely payment of vendor invoices

Essential Skills/Experience

  • -University degree in Finance Administration, Accounting Economics will be preferred
  • Experience with administrative work of 2-3 years ideally
  • Excellent written and spoken English skills
  • Great computer skills and Excel knowledge
  • Numerical and analytical skills
  • Planning and organization skills
  • Professional communication skills
  • Ability to work in a team
  • Proactivity, flexibility, and ability to solve problem situations
