Senior Business Support Coordinator and Team Lead

Introduction to role
This is a dynamic role reporting to the Head of Communications and Business Support in BioPharma Clinical Operations. The role will serve as the team lead for a group of business support coordinators and will be responsible for managing a team located in diverse locations. Additionally, the role involves providing administrative business support to one or more leaders of the function. The ideal candidate should be an experienced administrative professional capable of balancing day-to-day duties of supporting a senior leader while also leading and mentoring a team.
Accountabilities
Team Management:
- Recruit, onboard, and develop a global team of Business Support Coordinators.
- Implement and maintain global processes, ensuring consistent learning experiences.
- Oversee workflow management and team welfare, fostering global connections through regular interactions.
- Conduct quarterly coaching check-ins and develop quality development plans.
- Ensure team capabilities align with requirements and provide necessary upskilling and training resources.
- Proactively manage issues regarding team delivery or poor performance, ensuring day-to-day support activities and programs are delivered.
- Communicate clearly with the team regarding announcements, resourcing changes, processes, and opportunities. Stay updated with current compliance requirements, processes, and employment laws.
- Continually review the support model and resourcing situation to contribute and drive continuous improvement.
- Regularly engage with stakeholders to meet the Leaders’ current and future support needs efficiently and reliably.
- Make strategic resourcing decisions to match the right individual to each leader’s requirements.
Administrative Responsibilities:
- Provide business support in a dynamic, fast-paced environment, ensuring delivery of meeting scheduling, logistics, travel arrangements, leadership team events, and document/system maintenance.
- Collaborate with the BPO team, leaders, and collaborators to ensure efficient administrative processes and services. Responsibilities include calendar management, travel coordination, expense submission, meeting organization, and distribution list management.
- Promote best practice use of business processes and systems.
- Provide specialist project administrative support to the leadership team and back-up support to administrative coordinators as required.
- Ensure personal and team compliance with company policies and processes, including time reporting, required training, and expense management.
Essential Skills/Experience
- Proven experience as a PA/Administrative Coordinator
- Excellent verbal and written communication skills.
- Proactive approach with the ability to manage and prioritize multiple requests effectively.
- Strong stakeholder management skills.
- Solid relationship-building skills to develop networks both within the company and externally.
- Fluent in English.
- Proficient in Microsoft Office Suite, MS Teams, SharePoint Online
Desirable Skills/Experience
- Project management experience.
- Global line management experience.
- Team leadership experience
