As the Facility, Acceptance and Readiness (FA&R) Project Coordinator, you will form an integral part of our team responsible for the administration of projects, optimising assurance, reporting procedures, and methodologies, keeping to time management, cost and specification, ensuring reporting documentation is updated, all while safeguarding the transfer of responsibility from the construction team to Business as Usual operations.  Furthermore, you will escalate deadlines and outstanding actions to the FA&R PMO.

What will your day-to-day look like?

  • To maintain a central checklist and evidence schedule for both building handover and operational readiness assurance, supporting to the FA&R PMO and working with the construction team to gather all handover evidence required. This schedule will inform the go/no-go decision triggers for teams moving into the R&DC as well as making sure key science criteria have been met.
  • Coordinate the preparation of internal and external reports through gathering, analysing and summarising data and information from the project team supporting operational readiness assurance
  • Support the planning of internal engagement activities with key stakeholder and end users
  • Plan, coordinate and drive conclusion of actions and risks as they relate to critical workstream sessions
  • Manage documentation by accessing existing information sources as it relates to operational readiness activities; ensure appropriate information is stored centrally and accessible by the relevant audience groups
  • Support, track and progress against required budgets, follow up to ensure accountability
  • To own the process and schedule for visitors requesting access to the construction site, ensuring all Risk Assessment and Method statements, induction requirements and Mace requirements are met in order to facilitate a safe site process

Additional Technical Requirements:

  • Understanding of equipment databases, drawings, and understand how to annotate room drawings using appropriate software & hardware
  • Able to liaise across a diverse stakeholder group, including building contractors, science users and engineers

Essential Skills:

  • Ability to work collaboratively and flexibly within multiple project teams
  • Competent in working with Excel and PowerPoint
  • Previous administrative experience of working within and supporting projects
  • High-quality written and spoken communication skills
  • Can create and maintain processes to work efficiently for both self and others
