This is what you will do:

The Team Coordinator will provide specific support to Department Leaders, He/she will manage third party agreements, communicate with advertising and travel agencies, back up financial processes, manage related transactions in COUPA regarding third parties for both departments.

You will be responsible for:

 Provide administrative support by handling general administrative tasks such as:

  • Travel bookings, Itinerary planning and co-ordination based on global and local relevant SOP’s.
  • In case of need to work with third party companies, arrangement of requirements such as defining the subjects and collecting budget proposals of companies etc.
  • Specific planning and preparation for all marketing meetings such as Commercial Speaker Programmes, Year-End Meetings, LEAP day activities, marketing team off-site meetings.
  • Preparation and approval follow-up of all HCPs’ and third party agreements
  • Congress, internal/external launch meetings preparation and 3rd party works.
  • All the financial transactions of the events&services such as management and tracking of invoices for all activities
  • Coupa Processes: Purhase Request, Purchase Order opening, Creating downpayment for prepayment, making Goods Receipt for services received over the Coupa at the end of the month
  • Preparing an end-of-month marketing accrual list and submitting it to finance department.
  • Department material stock tracking
  • Management of meetings: invitation, planning, taking notes.
  • Preparation and approval follow-up of all HCPs’ and third party agreements with PMs, ass,mar.dir, marketing director and legal departments.
  • Congress/ Events logistics management of department’ team members
  • Responsible for the congress/events management to ensure each actions should be performed with a proof and archieving each congress’s all the details regarding given check-list
  • Responsible for reporting all pharmacovigilance events, product quality complaints and medical information requests within 24 hours as of awareness according to the local applicable procedures

You will need to have:

  • Minimum 5-6 years’ experience in a similar function within an international, multi-cultural environment
  • Excellent computer skills (Excel, PowerPoint, Word)
  • Fluency in English both written and oral mandatory
  • Strong interpersonal skills and natural empathy
  • Results driven, proactive, entrepreneurial, interactive
  • Reliable, accountable, resilient, high sense of ethics

  • Team player
